Alumni Association Class Agent Program

Mission
The mission of the Class Agent Program at St. Martin’s Episcopal School is to keep alumni connected with the school, to increase alumni understanding of the current state of the school, and to advance alumni support of and participation in the ongoing efforts of the school.
 
Program Goals
  • Obtain accurate alumni contact information, with emphasis on reconnecting with ‘lost’ alumni.
  • Improve communication among alumni.
  • Build relationships between St. Martin’s and alumni, in support of the mission of the school and the Alumni Association.
  • Increase alumni participation and giving to the school.  
 
What Is the Role of a Class Agent?
Class agents, as alumni leaders and StM ambassadors, can positively impact the lives of current and future students, fellow alumni, and the school community as a whole.
 
Effective communication with alums is a top priority at St. Martin’s. From The Bell, to emails, social media, and direct mail, the alumni receive a lot of correspondence from the school. However, as good as this communication may be, it will never replace the individual touch of a fellow class member. It is the personal nature of class agents that makes them an influential, positive force. 
 
Agents are communicators and motivators for their classes. Class agents:
 
  • Communicate. They are the link between the school and their classmates. They inform classmates on current issues at the school and provide feedback to the school on classmates’ interests, concerns and news.
  • Support. They participate in outreach efforts to classmates in need of emergency assistance or support, especially in cases where no other means of assistance are available.
  • Inspire. Agents are stewards for class fundraising efforts. As such, class agents should believe in philanthropy and have a positive track record of giving to the school or have a desire to begin giving.
  • Encourage.  Class agents work with fellow classmates to identify ways for alumni to help support the school through various methods.
 
Class Agent Responsibilities
  • Send news on classmates to the Alumni Office for publication in The Bell.      
  • Cross-reference class list contact information with the Alumni Office. 
  • Coordinate with Alumni Office staff in rallying their classes to the aid of classmates in need (from sending sympathy cards for sickness/death to assisting classmates in need of volunteer help).                                                     
  • Inform classmates on current issues at St. Martin’s and provide feedback to staff.  
  • Contact classmates to help publicize upcoming alumni events.
  • With assistance from staff, solicit each year for the Annual Fund and help educate classmates on the impact of giving and the importance of the class’ participation rate.
  • Make a gift to the school each year. Leadership by example is crucial and greatly appreciated.                     
  • Assist with reunion planning during anniversary years.                                   
Term of Service
There is no particular term of service for a class agent.  Some begin to serve upon graduation, and continue for many years; others begin early, and then choose to pass the baton after a short time; still others begin their service several decades after they have graduated. In some cases, agents resign their posts because of demands of their personal and/or professional lives. The school will always accept a class agent resignation – no questions asked.
 
Class agents who are consistently not meeting expectations may be asked to step down by the class or by the Alumni Office.  This action will only be taken when all other attempts to help the agent have been exhausted.
 
Selection
Class agents are, first and foremost, volunteers. They give of their time and talent to keep their fellow class members in touch with the school and each other.
 
Class agents for new alumni classes or those replacing a departing agent will emerge as a result of a call for volunteers from the school and/or from the class itself.
 
In a class where more than one person volunteers to be an agent, it can be ideal for one person to take on the communication responsibilities for the class and one person to take on the stewardship responsibilities for the class. In some cases, up to four individuals have volunteered to be agents for one class. The Alumni Office is glad to assist in deciding how duties can most effectively be distributed among multiple volunteers.
